Event Stewarding, Southwind and Social Media

Greetings to the noble populace of Atenveldt! I just wanted to put out a short missive with some information about event stewarding and getting your event pushed out to the newsletter and social media accounts. As more and more people step up to Steward, it is important that we are all on the same page.

Once your bid has been approved by either the Kingdom or Barony financial committees, the event steward drafts a writeup detailing the event. Typically, the more details the better, but it is important to include the name, date and time of the event, as well as the address. it is also helpful to know what the event actually is and what is taking place (tournaments, melees, art displays, competition, feast etc).

After the writeup is done, it can be sent to southwindsubmissions@atenveldt.org which will automatically disperse to the Seneschal, Social Media and Southwind. This email should include the event writeup as well as the approved bid paperwork. At this time, it is also important to email epay@Atenveldt.org if you are doing pre-registration.

Following that email, the hosting Barony’s Social Media Officer can create a Facebook event through the Barony’s page. Events for official SCA events can not be created through personal Facebook accounts; they must be created by the hosting Branch. This event should use the same writeup sent to the Southwind. Once the event is made, the autocrats can be added as co-hosts. If it is a Kingdom event (Crown, Coronation, A&S or Wildcard) the Kingdom page must also be added as a host. If the Barony does not have a Social Media officer, the Kingdom Social Media Officer will create the event through the Barony’s page. The KSMO will also create the discord event and thread. Once the pre-registration link is created, the autocrat can add it to the event description, but remember to email socialmedia@atenveldt.org so that we can add the link to the website post.

If at any point in the process there is a delay or a hiccup, feel free to ask your BSMO or KSMO directly or via their preferred contact method for updates. We are all humans juggling many hats and sometimes things get missed.
